Microsoft office has some software which helps facilitate people in all sorts of official and personal works. MS Office was first announced by the owner Bill Gates on the first of august,1998. Excel and Access are a part of the MS office. Both the software help in storing data in a row and column form. However, there are many differences between the two, let us learn more and compare them side to side.

Access vs Excel

The main difference between Access and Excel is at the places of their usage. Microsoft Access is primarily used to store large chunks of data to view later. In contrast to it, MS Excel is used for calculations purposes. Access has a lot of memory to hold a large amount of data, in comparison to it excel has less memory.

Microsoft Excel is software developed by Microsoft. It was first launched alongside the MS office in 1998. Microsoft Excel is a huge spread sheet(a sort of sheet spread over an infinite sort of area) consisting of rows and columns. Data are stored in box-like spaces called cells. Each cell has a specific number which is determined by the number of rows and number of columns.

Excel is used mainly for financial and accounting purposes. That’s the reason why it is widely used in offices these days.
Excel has a lot of formulas that help in doing calculations.
For Example, alt+=
is the formula to find the sum of data stored in a particular cell.

Apart from this, there are several options for the sheet to look visually appealing. We can create pie charts, bar graphs, pictures, etc.
Excel is not a database. Hence, a large amount of data cannot be stored. It can be used mainly for calculation purposes.

Also, there are many changes in excel from the time it was launched according to the need of the user. This makes it very user-friendly.
All these reasons contribute to excel becoming easy to learn software. With usage and over time excel can be learned.The extensions of files saved is .xlsx

  7. File in MS Access is saved with .accdb extension whereas in excel files are stored with .xlsx extension.

To sum up, everything that has been said so far, Microsoft Access is a database management system that helps to manage and store data.

On the other hand, Microsoft Excel is a software is used for calculations and accounting purposes.
Which one to use should solely depend upon the use.

Also, Excel has more options to make stuff more visually appealing as we have options to add charts, graphs, and pictures along with the data stored, whereas in Access we have options to store data and sort it so that to ease it out when we are viewing the data after a period of time.
